Billie Jean Health PLLC ("Billie Jean Health," "we," "us," or "our") operates this website and provides physician-led telehealth services to patients located in Texas. This Privacy Policy explains what information we collect through our website, how we use it, and the choices you have. Questions? Contact us at info@billiejeanhealth.com.
This Privacy Policy applies to information collected through our public website (browsing, contacting us, subscribing to our newsletter, and website analytics).
It does not govern the protected health information ("PHI") you provide when you book an appointment, register as a patient, or receive care. That information is collected and maintained by our scheduling and medical-records provider (OptiMantra) and is governed by the Health Insurance Portability and Accountability Act ("HIPAA") and our Notice of Privacy Practices, not by this policy. See Section 7.
We aim to collect as little information as possible through the website.
Information collected automatically. When you visit, our hosting provider (Webflow) and our analytics provider (Google Analytics) automatically collect certain technical information, which may include your IP address, browser and device type, operating system, referring website, the pages you view, and the dates and times of your visits. This helps us keep the site secure and understand how visitors use it.
Information you provide directly. If you email us, we receive your email address and whatever you include in your message. Please do not include medical or health information in general email — it is not a secure channel. For anything about your care, use your secure patient portal. If you subscribe to our newsletter, we collect the email address and any name you provide, along with information about how you interact with our emails (such as opens and clicks), through our email provider (Mailchimp).
Cookies and similar technologies. Our website uses cookies for basic functionality and for analytics. See Section 5.
We do not knowingly collect health information through the public website, and we ask that you not submit it through website forms or general email.
We use this information to operate, maintain, secure, and improve our website; to understand how visitors find and use our site; to respond to your questions; to send our newsletter to people who have subscribed (you can unsubscribe anytime); and to comply with legal obligations and protect our rights.
We do not sell your personal information. We do not use website analytics or marketing tools to make treatment decisions, and we do not combine general website data with patient health records for marketing purposes.
Service providers. We use trusted third parties to run our website and communications, and they may process limited information on our behalf — currently Webflow (hosting), Google Analytics (analytics), and Mailchimp (newsletter email). Each has its own privacy practices.
Our booking/EMR provider. When you book through our website, you are directed to OptiMantra, our scheduling and medical-records provider. Information you enter there is handled under HIPAA and our Notice of Privacy Practices (Section 7), not this policy.
Legal and safety. We may disclose information if required by law, to respond to legal process, or to protect the rights, safety, or property of Billie Jean Health, our patients, or others.
Business transfers. If our practice is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to applicable law.
We do not sell or rent your personal information to third parties for their own marketing.
We use necessary cookies for the website to function and analytics cookies (Google Analytics) to understand site usage. When you first visit, you will see a cookie consent banner allowing you to accept or decline non-essential cookies. You can also control cookies through your browser settings, and Google offers a browser opt-out add-on for Google Analytics.
You can unsubscribe from our newsletter at any time using the link in any email or by contacting info@billiejeanhealth.com. You can decline non-essential cookies via our banner or your browser. You may contact us to ask about the website information we hold about you, or to request correction or deletion, subject to legal limits. Rights regarding your health information are described in our Notice of Privacy Practices, not here.
Billie Jean Health is a healthcare provider. Any information related to your care — including what you provide when booking, registering, completing intake or consent forms, or communicating with your physician — is protected health information governed by HIPAA and applicable state law, and is maintained in our medical-records system (OptiMantra) under a business associate agreement.
How we use and protect your health information, and your rights regarding it, are described in our separate Notice of Privacy Practices. If anything in this Privacy Policy appears to conflict with the Notice of Privacy Practices regarding health information, the Notice of Privacy Practices controls.
Please do not send health information through the website's contact email or any website form. Use your secure patient portal for anything related to your care.
We keep website information only as long as needed for the purposes described here or as required by law, and then delete or de-identify it. Retention of health information is addressed in our Notice of Privacy Practices.
We use reasonable measures to protect information collected through our website. However, no method of internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security. This is another reason not to send sensitive or health information by general email.
Our website and services are intended for adults 18 and older. We do not knowingly collect personal information from anyone under 18 through the website. If you believe a minor has provided us information, contact info@billiejeanhealth.com and we will address it.
Our website may link to third-party sites or services (including our booking provider). We are not responsible for the privacy practices of those third parties, and we encourage you to review their policies.
Our services are offered only to individuals located in Texas at the time of their visit. Our website may be viewed elsewhere, but the services described are not offered outside Texas.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the website after changes take effect means you accept the updated policy.
